Getting started

General
How do I get started with HayNet?

Download HayNet from the App Store or Google Play, or open app.haynet.horse in your browser. Create your account, then choose Create New Stable to set up your barn.

Next, set up what you offer: lessons and other services under Manage › Event Products, and board, packages and other recurring offerings under Manage › Board Products, Manage › Prepaid Package Products and Manage › Subscription Products. Invite your clients and staff from Manage › Manage Users, and set your billing day and fees under Manage › Finances › Billing settings.

Once lessons are on the schedule, charges and historical records follow on their own. Need a hand with setup? Write to help@haynet.horse.

Is HayNet available on both mobile and web?

Yes. HayNet has native apps on the App Store (iOS) and Google Play (Android), and the full product runs on the web at app.haynet.horse. Your clients, trainers and staff use whichever device suits them, with the same features on each.

Can I use the finance tools without the schedule?

Yes. The Business Finance Suite stands on its own: write invoices by hand, add one-off charges, split a show, take payments online, log expenses, and pull reports, with no schedule at all. Many barns run exactly this way.

When you're ready to connect the schedule and subscriptions, every finalized lesson, school horse fee, and add-on becomes a charge on its own, and board, packages, and subscription products renew onto the same invoice. Nothing is entered twice.

I have multiple organizations. Do I need separate logins?

No. One HayNet account works across every organization you belong to. If you're a trainer at one barn and a client at another, you sign in once and switch between them in the app. Your role is set separately in each organization, so what you can see and do in one doesn't carry over to the other.

How does HayNet save me time and money every month?

HayNet takes on the admin that eats your evenings. Lessons, school horse fees and add-ons become charges on their own as events finalize, so you never forget to bill for something you actually did, and every finished event is added to the historical record with no extra entry. Clients book within your rules, package credits update as they book, and late cancellation fees and invoice late fees apply themselves.

Your books stay clean as you go. Every line is marked a charge or a reimbursement, expenses are tied to the horse or equipment behind them, and your bookkeeper gets the reports on a schedule. Less time on admin, fewer missed charges, and more time with the horses.

There are lots of barn management apps out there. Why should I choose HayNet?

Because HayNet is one integrated system, not disparate features under one login: every feature works smartly with the others, with one schedule, one ledger and one record of each horse and client, all from one central source. And its finance tools keep the business profitable and give you the numbers for better decisions about the next cycle, quarter, year and five years.

HayNet also runs as native apps on iOS and Android, with the full product on the web and feature parity across all three. And it's built correctly from the ground up by veteran software engineers who also happen to be horse people.

Pricing & fees

General
How much does HayNet cost?

There's no subscription and no per-user, per-horse or per-feature fee. Your platform fee on invoices is 0% to 1.99%, and every feature is included.

The full fee is 1.99%. You can bring your cost to 0% by building it into your pricing, or by passing all or part of it on to clients as its own line on the invoice.

What are your processing and platform fees?

HayNet charges one flat 1.99% platform fee on invoices. It's the same whether you wrote the invoice by hand or the schedule built it.

The fee is always your choice: include it in your pricing, or pass it on to the client as its own line on the invoice. Clients pay online by bank or card. Card payment processing charged at 2.99% with the fee charged to payor (client) at checkout when a card payment method is selected. Client is informed of fee change before checkout.

Can I pass the platform fee on to my clients?

Yes, and it's always your call. Include the platform fee in your pricing, or pass it on to the client as its own line on the invoice. To pass it on, open Manage › Finances › Billing settings and set the Operations Fee in the Operations Fees section.

A passed-on fee is never folded into another charge: it shows on the invoice as its own Operations Fee line.

If I pass the fee on, what does the client see?

A line of its own. When you pass the platform fee on, it appears on the client's invoice as a separate Operations Fee line, never folded into another charge, so the client can see exactly what it is. They see the same invoice in the HayNet app and from the link in their invoice email.

Is there a fee on every invoice, or only on online payments?

The platform fee is deducted from the processed payment.

Do high-volume barns get a discount?

Yes. Barns processing over $100k a month qualify for discounts. Every barn gets the whole product either way, with no subscription and no per-user, per-horse or per-feature fees.

Why aren't we charging more?

Because we'd rather grow with your revenue than charge for seats, features or horses. We want the tools in the hands of the riding and training programs the sport depends on, and in a world of rising costs, we chose to keep ours tied to yours.

We're equestrians as well as software engineers. We'd like to see riding programs able to keep school horses again if they choose to, and run in a way that feels sustainable, and that starts with knowing where the business stands.

HayNet ships every week. If there is a feature you need, send it to info@haynet.horse: it may already be on the roadmap. And if you tried HayNet in the past, give it another look.

Billing & Invoicing

Finance
How are automated invoices generated?

From the schedule. Every lesson, training ride, school horse fee, and add-on becomes a charge on the client's draft invoice once the event is completed and finalized, about 48 hours after it ends. Board, prepaid packages, and subscription products renew onto the same draft, and bookings covered by package credits show as zero-dollar lines with the event details.

On your billing day the draft becomes an open invoice and goes to the client by app notification and email. No manual entry required.

Can I add or remove items from an automated invoice?

Yes. Until the draft becomes an open invoice on your billing day, you can review it, add line items by hand, and edit or delete lines that shouldn't be billed. Mark each line you add as a charge or a reimbursement.

To check every invoice before it goes out, turn off Automatically send invoices under Manage › Finances › Billing settings: drafts are still prepared on the billing day, and nothing sends until you send it. Change an invoice after it's sent and the client sees it marked as revised, not as a second invoice.

How does split and show billing work?

Put a show, a clinic or a haul on one group bill with the riders and horses who went, and enter the shared costs once. Charge each person or horse the full amount, or split a charge evenly or by unit among the ones you select. Each client's invoice shows their share and nothing from anyone else's.

Groom fees, hauling, stabling, entries and day fees all go on the group bill. You'll find it under Manage › Finances › Group (Bulk/Split/Show) Billing.

How do I set my billing cycle date?

Open Manage › Finances › Billing settings. Choose your Default Billing Period, monthly or weekly, and your Default Billing Day, and set how many days clients have to pay under Invoice Due (days).

An Event Product can have its own billing period that overrides the default: edit it under Manage › Event Products and set Override Billing Period.

Does HayNet support late fees on overdue invoices?

Yes. Turn on Charge invoice late fees under Manage › Finances › Billing settings, then set a percentage of the invoice total, a fixed amount, or both, and a grace period in days. Late fees apply on their own, and reminders go out as invoices come due and go past due, so you don't have to chase payments yourself.

Can clients view and pay their invoices online?

Yes. When an invoice is sent, the client gets an app notification and an email, and can see the full breakdown in the HayNet app or from the link in the invoice email. They pay right there, by bank or card.

The invoice link works without the app or a HayNet account, so a parent, a spouse, or whoever pays the bills can pay it directly.

What if I need to create a one-off invoice?

Add a line to the client's draft invoice, or create a standalone invoice any time: open Manage › Finances and tap Invoice. Add as many line items as you need, like a clinic fee, a hauling charge or a supplement order, and mark each one as a charge or a reimbursement.

That distinction matters at tax time. A reimbursement, like a vet bill you covered for a client, is a pass-through cost and stays out of your income. No schedule required.

Can I split a charge by horse instead of by rider?

Yes. On a group bill, select the horses instead of the riders, then split the charge evenly or by unit. Each horse's share goes on the invoice of whoever is selected as the responsible person or persons on the event or defaults to the horse's billable person. You can also select riders and horses together and split the charge across both.

Do group charges go out on a separate invoice?

Not unless you want them to. When you create the invoices for a group bill, choose Next billing and each client's share goes out with their regular invoice on your billing day. You can also send them today or on a date you pick.

Invoices with the same send date are combined automatically, so a show week doesn't mean a separate round of invoices.

Am I able to quickly see who has paid their invoice and who is past due?

Yes. Every invoice shows its status: draft, open, paid or past due. Under Manage › Finances, the invoice list filters by status, date or client, so who has paid and who is past due is clear at a glance.

To charge late fees on past-due invoices automatically, turn on Charge invoice late fees under Manage › Finances › Billing settings.

Payments

Finance
Which payment methods can clients use?

Clients pay by bank or card, in the HayNet app or from the link in their invoice email. Either way, the payment is paid out to your bank.

Can someone pay an invoice without a HayNet account?

Yes. Whoever is actually paying, whether a parent, a spouse, a grandparent or a business partner, can open the link in the invoice email and pay by bank or card without a HayNet account or the app. Many barn clients are families where the person paying isn't the person on the account, and the invoice link covers exactly that.

How do payouts reach my bank?

Payments your clients make in HayNet are paid out to your bank account. Every invoice shows where it stands, so paid and past due are clear at a glance.

To match payouts against your bank deposits, the Payment Reconciliation Report lists each invoice with its payments and deposits, ready to give to your bookkeeper without distilling it first.

Expenses

Finance
How do I bill a client for an expense I paid on their behalf?

Coming soon: log the expense in Manage › Finances › Expenses and, under Invoice to, pick the client or horse. Billing it to them tracks it as a reimbursement. With Add to next invoice on, each share goes on that client's next invoice automatically. With it off, the share waits in your To bill queue until you place it on a draft invoice or a group bill.

Or add it straight to the client's invoice as a line marked Reimbursement. Either way it's tracked as a reimbursement, so it never counts as income.

Can I set up recurring expenses?

Yes. Hay, bedding, insurance, the arena lease: set a recurring expense once under Manage › Finances › Recurring expenses and HayNet logs it on its schedule, so the month's costs are complete without entering the same bills again.

Each one can record automatically or wait as a draft for you to review, and you can skip the next one, pause it or end it.

How do recurring expenses work when the expense varies every month such as my utilities bills?

Set it to Draft for review instead of Auto-record. On each due date HayNet creates a draft with your usual amount. When the bill arrives, adjust the amount to match and record it.

Can I see what a horse or trailer earns and costs?

Yes. Asset management tracks horses, trailers and equipment as assets, with the income and expenses linked to each one, so you can see what an asset has earned against what it has cost over time. When one leaves the barn, mark it sold or archive it.

When it's time to decide about a school horse or a second trailer, the numbers are already there.

Can I export my expenses?

Yes. Every expense line exports to CSV: download the expenses report for any period under Manage › Finances › Reports. Recurring expenses are included as they're logged, and reimbursements stay out of income in your reports and exports.

Revenue & insights

Finance
What counts as income in HayNet?

Payments collected through HayNet in a period, after processing fees. Income is dated by when the money arrived, and refunds count in the month they're refunded.

Can I compare my numbers with what I expected?

Yes. On your Finance home, add your best guess at average monthly income and expenses. The chart shows your estimates until your real numbers come in, then tells you whether income and expenses are running above or below them. Edit or clear your estimates any time from the card's menu.

How far back can I see my income and expenses?

Up to three years. Switch between six months, a year, two years and three years; the longer views group the months into quarters. Tap any month or quarter to see its income, expenses and net.

Reports & Accounting

Finance
I manage my own books. Can I pull reports?

Yes. Under Manage › Finances › Reports, download CSV reports for any period: the Payment Reconciliation Report, with each invoice and its payments and deposits; a revenue report; a transactions report of every payment, refund and fee; and your recorded expenses.

The Accounting Reports card on the same screen exports files built for QuickBooks and Xero, plus a detailed CSV statement, with charges and reimbursements kept separate.

Can my bookkeeper get reports automatically?

Yes. Give your bookkeeper the Bookkeeper role in Manage › Manage Users, then turn on Auto-reports under Manage › Finances › Reports. The reports you pick are emailed on a schedule to everyone with the Bookkeeper role. If your bookkeeper isn't a member of your organization, add their email address as a recipient instead.

You can also email a period's reports whenever you need them.

Does HayNet work with QuickBooks or Xero?

Yes, through exports built for each. Under Manage › Finances › Reports, the Accounting Reports card exports QuickBooks journal entries, QuickBooks bank transactions, and a Xero bank statement, ready to import. It also exports a detailed CSV statement for any other accounting software.

Each export picks up exactly where the last one ended, and charges and reimbursements are already told apart, so your books match HayNet without a cleanup pass at the end of the month.

Are reimbursements kept out of my income?

Yes. When you pay for something on a client's behalf, like stall fees at a show, a vet bill or hauling fuel, and charge it back, it's a reimbursement. Tag the line on the invoice as a reimbursement, or log the expense in Expenses and pick the client under Invoice to (coming soon).

Either way it stays out of income across your invoices, reports and exports. Your gross and net show what the barn actually earned.

Scheduling & events

Operations
How do I set up a bookable event for my clients?

Create an Event Product, the template for a bookable event. Go to Manage › Event Products, add one, set its bookable start times and booking window, and turn on Allow client to schedule.

The Event Product also holds the group size, the trainer options, the price or the token types it accepts, and whether clients can reschedule or cancel. Once you turn on Publish this event and save it, clients see the open times in the app and book them themselves.

I have lesson horses with per-use fees. How do I configure this?

Set a school horse fee on the Event Product. Go to Manage › Event Products, open the lesson, and enter the amount in School Horse Fee.

HayNet then applies the school horse fee automatically to applicable events, as its own line on the invoice on top of the lesson price, so you never forget to collect for your lesson horses.

Can I set up no-show and late cancellation policies?

Yes, and HayNet applies them for you. Set your barn's Late Cancel Fee, a percentage of the service price, under Manage › Finances › Billing settings. Then, on each Event Product, turn on Allow client to cancel and Allow client to reschedule, set the notice you need in Min cancel before and Min reschedule before, and use Late Cancel Fee (percent) where one service needs a different fee.

Clients see the policy when they book. If they cancel inside the window, they're shown the fee and confirm before it's charged; with no fee set, they can't cancel that late and contact you instead. And when lessons are sold as Prepaid Packages, a missed lesson is already paid for.

What happens when an arena is fully booked?

HayNet moves on to the next space. Clients don't choose an arena: HayNet assigns one at booking from the resources on the Event Product, in the order you list them, and when one is full it tries the next. If every space is full, the client can still book, and HayNet marks the booking overbooked instead of turning it away.

Users with elevated access roles can also overbook a space on purpose, even when others are open, and HayNet marks it overbooked. A booking in an overbooked space, or with no space assigned, shows a location picker on the Agenda for its trainer and your managers, so the right person decides whether to move it, reschedule it or leave it as it is.

Can I book an event for a client?

Yes. Users with elevated access roles, such as trainers, managers and admins, can book on behalf of any client. On the Agenda tab, tap the + button, choose Schedule Event, pick the Event Product and the time, and add the client under Participants.

Staff bookings aren't held to the rules you set for client self-booking, so you can book a service clients can't book themselves and build the week's agenda from the office.

How does an event get billed to my clients?

Automatically, from the Event Product. The price and add-ons you set on the Event Product are added to the client's invoice once the event finalizes, about 48 hours after it ends, with each fee on its own line. Invoices go out at the end of each billing cycle. A booking paid with a prepaid package credit shows as a zero-dollar line and indicates which credit type was used, though its add-ons are still charged, and late cancellation fees follow your booking rules.

What does the Digital Whiteboard show?

Your barn's schedule, on a TV or any large screen in the aisle. Today's lessons and events roll by as the day goes, with the trainer, riders and horses on each, next to the coming days of the schedule.

Beside the schedule sits the weather: current conditions, the next few hours, the days ahead and a horse heat index. After hours the screen dims to a clock and tomorrow's plan. Set it up and pair your screens under Manage › General Settings.

Can each whiteboard screen show something different?

Every screen you pair shows the same Digital Whiteboard. Its settings in Manage › General Settings apply to all of them: how many days of schedule the board shows, the hours the schedule covers, when the screen wakes and sleeps, and the weather location and units.

Each screen gets its own name when you pair it, like Tack room or Office, so you can see which ones are online and remove one without touching the rest.

What is the horse heat index?

It's a heat reading for your horses that the Digital Whiteboard shows with the weather, right beside the schedule. The board works out the classic equine heat index, the air temperature in °F plus the relative humidity, and labels it Lower risk, Monitor, Critical or Do not exercise. On the hot days everyone in the aisle sees it at a glance, so turnout and riding plans can change before the afternoon does.

How can I add a one-time event entry to my calendar schedule?

Add a custom event, a one-off entry that doesn't need an Event Product behind it. On the Agenda tab, tap the + button and choose Schedule Event, then switch from Predefined Event, the default, to the Custom Event tab.

Give it a title and its primary and secondary types, set the date and time, and it's on the schedule. Custom events suit any one-off activity that doesn't follow a set template, so there's no product to build for something that happens once.

If a show's dates change, what happens to the linked tasks?

If a task is set to follow the show, its due date moves with it. Open the task's Due behavior and choose Follow, then set how many days before the show starts it's due. If the show moves, the task moves too. If the show is cancelled, the due date stays where it was. Choose Independent due to keep a fixed date.

Can I see one horse's or rider's whole show season?

Yes. On the planning calendar, open Filter and pick the horse under Equines or the person under Members. You can also narrow by event type or by your response to an event. Your filters are saved to your account, so they follow you to every device.

Who can see the notes on an event?

The person who writes a note decides. Each note on an event can be set to Everyone, Staff only, or Just me, so it reaches only the people who need it. Which of those options you see depends on your role.

Will lessons and other booked events clutter the planning calendar?

No. The planning calendar shows your planned events, like shows and clinics, and leaves booked events off until you want them. To see lessons alongside everything else, open Filter and turn on Include predefined events. Cancelled events stay hidden too, unless you turn on Show cancelled events.

Prepaid Packages & Tokens

Operations
How does the prepaid package tracking system work?

Each Prepaid Package is a subscription that gives the client a set of credits, called tokens, of a type you choose, like Private Lesson or Training Ride, with a fresh set every billing cycle. You're paid before the lessons happen, and each Event Product says which token types it accepts.

When a client books one of those events, a credit is set aside as Pending, and once the event finalizes it shows as Used. On the invoice, a used credit is a zero-dollar line with the event name, date and time.

Credits can expire after a period you set or never expire, and you can add or revoke them manually. You and your clients can check balances in the app at any time, with nothing to track on paper.

Can a single package be used across a family?

Yes. With Family Token Sharing, a package one family member buys can be used by every linked rider in the household. It's on by default for the barn, every event and every family, so there's nothing to set up, and a rider's own credits are used before the family's.

Every shared credit shows whose it was and whose booking used it, on the booking summary, in the barn's and the family's token managers, and on the invoice. Families link their accounts under Account & Billing › Family Account.

What happens when a client runs out of tokens?

They can still book and ride. When a client has no valid credits for the Event Product they're booking, the booking is billed at that service's standard price on their next invoice instead of using a credit, so nobody misses a ride and you still get paid.

Letting clients top up with more credits without buying a new package is on the roadmap.

Can I accept more than one token type for an event?

Yes. On the Event Product, turn on Allow pay with prepaid credits/tokens and pick every type it should take in Credit Token Types. A Semi-Private Lesson could accept Private Lesson and Semi-Private Lesson credits, for example, so packages that have always been interchangeable at your barn stay that way.

Change the accepted types whenever you like under Manage › Event Products.

Which credit is used first when a client has more than one?

The one expiring soonest. When two expire on the same day, the token type listed higher on the Event Product goes first. With Family Token Sharing, a rider's own credits are used before the family's.

Can I create my own custom Token Types?

Yes. HayNet starts your barn with a few common types, Private Lesson, Group Lesson and Training Ride, and you can add as many of your own as you need. Go to Manage › Manage Tokens, open the Token Types tab and tap the + button, or create one on the spot while setting up a Prepaid Package or an Event Product.

Archive a type you no longer use. The list shows which packages and events still use each type, so you know before you archive it.

Can a family turn off token sharing?

Yes. Family Token Sharing is on by default, and a family that would rather not share turns off Share my credits with my family for its own group, under Account & Billing › Family Account. It's all or nothing: on for every event the barn offers sharing on, or off for all of them.

The barn has its own controls. Managers and admins can turn sharing off for the whole barn under Manage › Finances › Billing settings, or for a single Event Product. The barn decides whether sharing is offered and on which services; each family decides for its own group.

How do I set up and assign Prepaid Packages to my clients?

First create the package. Go to Manage › Prepaid Package Products, tap the + button, and give it a name, a price, the number of credits in Credit Units/Qty, the token type and, if you like, how long the credits last before they expire.

Then assign it under Manage › Subscriptions & Requests: open the client's subscription, choose Edit Subscription and add the package under Package Subscriptions, or tap the + button to set up a new subscription. Each billing cycle the credits are added to the client's account and the package renews on their invoice. Turn on Catalog visibility to let members request it themselves.

How can I see and manage my clients' tokens?

Go to Manage › Manage Tokens. The Tokens tab lists every client's credits with their status, from Usable and Pending (held for an upcoming booking) to Used, Expired and Revoked. Filter by client, status, token type or date to find what you need.

Each credit shows where it came from, a package subscription or a manual credit, and which booking used it, including credits shared within a family. From the same tab you can add credits by hand or revoke them.

How do my clients see their used and available tokens?

In the app. Clients open the menu at the top of the screen and choose Account & Billing › Package Credits. There they see each credit's status, from usable and pending for an upcoming booking to used or expired, when it's valid, and which booking used it, including credits shared within their family.

This is the client's own view. You manage every client's credits separately, under Manage › Manage Tokens.

Where can families see the tokens they've been issued and used?

In the app, under Account & Billing › Package Credits. Each family member sees their own credits and the ones shared with the family, grouped by person. Every credit shows its status, from usable or pending for an upcoming booking to used or expired, and which booking used it. You see every client's credits, families included, under Manage › Manage Tokens.

Am I able to manually create and assign tokens for special cases or extenuating circumstances?

Yes. You can give any client credits without a package purchase, for a make-up lesson, a working student arrangement or any special case. Go to Manage › Manage Tokens, stay on the Tokens tab and tap the + button, then pick the client, the token type, the quantity and an expiration date, or No expiration.

To take credits back, open the menu on a credit, choose Revoke Token(s), and enter how many and a short reason. Manual and revoked credits stay in the list with their status, so every change has a history.

Board & Subscriptions

Operations
How do I set up board charges for my clients?

Start with a Board Product for each kind of board you offer, like main barn stall, pasture board or training board. Go to Manage › Board Products, tap the + button, and set the name, description and monthly price, plus any add-ons that come with it.

Then assign it under Manage › Subscriptions & Requests: add the Board Product to the client's subscription with their horse, and check the add-ons that apply. Board and its add-ons renew onto the client's invoice every billing cycle, and you can change the add-ons as the seasons change without touching the board itself.

Can I add monthly extras to a client's board bill such as extra grain charge?

Yes, with board add-ons. Each Board Product can carry add-ons, recurring extras like supplemental grain, blanketing or access to an extra amenity, each with its own name and monthly price. Add them under Manage › Board Products.

Then check the add-ons that apply on the client's board line in their subscription, under Manage › Subscriptions & Requests. Each one shows on the invoice as its own line, and you can add or remove it from cycle to cycle without touching the board itself.

How do my clients see their active subscriptions and monthly recurring charges?

In the app. Clients open the menu at the top of the screen and choose Account & Billing › Subscriptions. Each subscription shows its status, its billing dates and frequency, and what's in it: board with any add-ons, packages and other subscription products.

Requests they've sent from your Catalog, and where each one stands, are under Account & Billing › My Requests.

Can clients request subscription-based products and services through the app?

Yes. Turn on Catalog visibility on any board, package or subscription product to publish it to your barn's Catalog. Members find it by tapping your barn's name at the top of the app and choosing Browse Products, then send a request without going back and forth with the office.

The Catalog is visible only to your barn's members, and a request is just that. It's sent to the Requests tab under Manage › Subscriptions & Requests, where you approve or deny it and finish the setup on their account.

How do I create or modify a recurring charge for a client?

Recurring charges come from three kinds of products: board and its add-ons in Manage › Board Products, credit packages in Manage › Prepaid Package Products, and any other recurring service, like trailer storage, facility access or a monthly groom service subscription, in Manage › Subscription Products.

Then go to Manage › Subscriptions & Requests. Tap the + button to create a subscription for a client, with its start date and billing frequency, or open an existing one and choose Edit Subscription to add, change or remove products. Changes take effect on the next billing cycle.

How do I modify a client's monthly recurring charges?

Go to Manage › Subscriptions & Requests, open the client's subscription and choose Edit Subscription. Add, change or remove board, board add-ons, packages and subscription products, then save. Changes take effect on the next billing cycle.

The same subscription lets you pause billing for a stretch, until a resume date or until you resume it, or record a cancellation notice when someone is leaving. Each subscription keeps its own billing period, start date and status.

Arenas & resources

Operations
How does the Arena Resource Management work?

Each arena, round pen or course you add as a resource carries two limits: Max concurrent bookings, how many separate bookings can use it at once, and Max Clients at the same time, how many riders can be in it at once.

Clients don't pick a space. HayNet assigns one at booking from the resources on the Event Product, in the order you list them, and tries the next when one is full. When every space is full, the booking still goes through, marked overbooked. Users with elevated access roles can choose the space themselves and overbook one on purpose, even when others are open. HayNet marks it overbooked instead of hard-blocking it, so you see crowding coming and keep the booking.

How do I set up a Location Resource?

Go to Manage › Resources and tap the + button to create one, or the edit icon on an existing resource to change it. Give it a name, like Main Indoor or Outdoor Dressage Ring, and a description, then set its Scheduling Limits: Max Clients at the same time and Max concurrent bookings.

Then add the resources each Event Product can use in that product's Resources field, in the order HayNet should fill them. Users with elevated access roles can also change the location on any booking.

Records & files

Operations
How do I add records?

You don't need to. Every event on your schedule becomes a historical record on its own once it's completed and finalized, about 48 hours after it ends, custom events included. Completed tasks become records too, so nothing is entered twice.

If something happened that never made it onto the calendar, add a custom event or completed task for it and the record follows. It all lives on the Records tab, where System Search finds it in seconds.

What does System Search search?

System Search looks through your horses and clients, events, tasks and notes, and returns every relevant result in seconds. It's the search at the top of the Records tab: type a horse's or a client's name, or a few words, and the matching records come back.

Tap a horse's or a person's avatar for the essentials without leaving the screen you're on.

Can I upload Coggins files, health certificates, and other records for horses?

Yes. Each horse's profile has a Health records section for Coggins tests, rabies and other vaccinations, health certificates and any other record, each with its date, expiry, vet or provider, notes and the files themselves. HayNet can also create a renewal task ahead of a record's expiry, so a renewal reminder goes out before the next Coggins lapses.

The profile has its own Files section for x-rays and other documents, and each registry entry takes its own files, like registration papers and show records.

Can I upload contracts, liability waivers, and other files for clients?

Yes. Each client has a Files section for contracts, signed liability waivers, emergency contact forms and any other documents. Go to Manage › Manage Users, open the client, and add them under Files.

Every file has its own visibility setting, so you decide who sees it. Files you upload about a client start out visible to your admins and managers only.

How do I add notes for horses and/or clients?

Open the horse from the Equines tab and add a note in its Notes card, or open a client under Manage › Manage Users and add one in their Notes. Events take notes too, and any note can be linked to a horse, a person, an event or a task, so it shows up where it belongs.

Each note has an audience: Everyone, Staff only or Just me. Use them for temperament, turnout preferences, the farrier's comments or anything the next shift needs to know.

Can a task be linked to a horse, person or event?

Yes. On the Tasks tab, tap + and choose New task, then add the horses it's about under Horses & subtasks. Each horse can be a target you check off as the work gets done, or linked just for the record. Add the people or groups responsible under Assign to. To tie the task to an upcoming custom event, like a show, use Link task, or add it from the event's own Tasks section.

Break the job into subtasks, and the task's activity shows who did what and when, so the next shift picks up where the last one left off.

Do completed tasks become records?

Yes. Once a task is marked done, it becomes a record alongside the events from your schedule. Nobody has to write the same work down twice. You can find it later with System Search on the Records tab.

Tasks keep the day's work on track and on the record. They don't create charges or touch your invoices.

Horses & registries

Operations
Can owners see their own horse's profile and record?

Yes. Owners see their own horses in the app on iOS, Android and the web: the profile, its health records, registries and files. They can keep their own horse's profile up to date, and a client leasing a horse can see it and book on it without editing it.

Clients don't see anyone else's horses, and your staff see the barn's horses as their roles allow. Feed schedules stay with the staff who feed.

Who can see and edit a horse's profile?

It depends on each person's role and their connection to the horse. Admins, managers, grooms, and stable hands can add and edit any horse at your barn, and trainers can see every horse without editing it. A horse's owners can see and update its profile, a lessee can see the horse and book on it, and the person billed for the horse can see it. Parents can also see their children's horses, and clients don't see horses they aren't connected to.

Insurance details are visible only to people who can edit the horse, and feed schedules stay with your staff.

How do I log a vet or farrier visit?

Open the horse from the Equines tab. For Coggins, vaccinations, health certificates and other vet records, add a health record: choose the type, or Other with your own label, like a dental exam, then the date, the vet or provider, notes and any files. For farrier work and routine visits, add a note on the horse, so its vet visits, farrier work and progress sit together in one place.

If the visit is on the schedule as an event with the horse on it, it also becomes part of the horse's historical record once the event is finalized.

Can I keep feed and supplement instructions per horse?

Yes. Each horse has its own feed schedule on the Feed tab (Equines › Feed), which only staff see. A schedule is a set of feeding times, like AM Feed, each with its hay, grain and supplements. Every line carries a Quantity, the standardized serving size you use for cost and inventory, and a Practical Amount, the way your staff actually scoop it, like two red scoops, plus notes such as soak 10 minutes.

Pack, bag and container units count pre-portioned supplements and bagged feed by the piece, and grooms and stable hands mark each line Done on the day's feed list.

What happens to the record when a horse is sold or leased?

The record stays with the horse. On its profile, set the Status to Sold or Leased, with a status note if you like, and update the owners or the person leasing it. Its health records, registries and files stay on the profile, its past events stay in your records, and when a horse leaves the barn for good, you can archive it.

If you track the horse as an asset in Expenses & Assets, mark it sold or archive it there too.

How do I generate a horse report?

Open the horse's profile and tap Report. Pick a preset, Sales flyer or Show / travel packet, then choose what to include. Every section is optional: details, registries and identification, pedigree, a summary of the past year's activity, feeding schedule, contacts, documents on file, health records, notes, and photos. The Sales flyer adds a headline, the asking price, and who to contact.

Select the files to attach, like the Coggins certificate itself or a copy of the breed registry papers, and they go into the PDF with the report. Preview the report, then download it as a PDF, print it, share it, or email it to yourself.

Do school horses track their own usage and fees?

Their usage, yes, once the horse is on the lesson. The school horse fee you set on the Event Product is applied automatically to applicable events and goes on that booking's invoice.

When a horse is on a lesson, that lesson becomes part of the horse's historical record once it's finalized. Filter the Records tab by horse and you can see how hard each school horse is working instead of guessing.

Can I copy one horse's feed schedule to other horses?

Yes, with Clone Schedule. Open a horse's feed schedule and tap Clone schedule to copy all of it, or use Clone to Another Horse on a single feeding time. Pick one horse, several, or Select all for the whole barn, then choose Append to add to their schedules or Overwrite to replace them.

A new horse arrives Monday and should start on the same diet as the mare next door: clone her schedule onto him in seconds. When a few horses go onto the same supplement, add it as a feeding time on one and clone that feeding time to the rest.

Who can see and complete the feed list?

Only staff. Clients never see the Feed tab. Grooms and stable hands, along with trainers, managers and admins, see each day's feed list and mark every line Done as they go.

Users with Trainer+ role build and edit the feed schedules themselves, so the people feeding work from the list while the people planning diets keep the schedules current.

Can I see who fed the horses and when it was done?

Yes. Every line marked Done on the day's feed list shows who checked it off and the time. A skipped line shows the reason, who skipped it, and when. To check an earlier day, pick its date on the feed list.

Am I able to store my horse's competition registry numbers (USEF, FEI, NRHA, NCHA, etc.) or breed registry and pedigree data?

Yes. Each horse's profile has a Registries section that holds several entries, each a Breed Registry or a Show/Competition Registry. Pick the association from the list, like USEF, FEI or NRHA, or type any name that isn't listed, then add the registered name, the registration ID and, on a competition entry, its effective and expiry dates.

Breed entries hold the breeder's details, from farm name to country of birth, and the pedigree: Sire, Dam, Sire's Sire, Sire's Dam, Dam's Sire and Dam's Dam. Once an entry is saved, attach its registration papers and certificates to it.

Am I able to store my horse's microchip and passport information for easy retrieval?

Yes. Passport and USEF Registration have their own fields in the Details on each horse's profile, and a microchip number goes on the horse's registry entry, under Physical Details.

They're stored with the horse, so they're a tap away on any device, whether you're at the show office, on the road or with the vet.

Clients, staff & families

Operations
How do I add my clients and staff to my organization?

Go to Manage › Manage Users and tap the add icon to open Add to barn. Choose a client or a team member, pick a team member's roles and enter their email, and HayNet emails them an invite that stays pending until they accept. You can also share your barn's invite link or QR code, which you set up under Manage › General Settings.

Clients can find your barn in the app and ask to join too, when your barn is set to Public in General Settings. Either way, both sides accept before anyone's connected: you accept their request from the Notices tab, or they accept your invite.

I have clients whose children ride and the invoice needs to go to their parent. How can I set that up?

Set up a Family Account. A parent links their account to their child's, and from then on the parent can book for the child and see and pay the child's invoices, with the whole family's charges in one place. Parents set it up from the menu at the top of the screen, under Account & Billing › Family Account.

If the person paying is outside the barn, the client can add a Billing Email in their Profile, and invoices go there instead. Whoever opens the invoice link can pay it without a HayNet account.

How do my clients set up their Family Account?

A parent sets it up. The parent opens the menu at the top of the screen, goes to Account & Billing › Family Account, taps Invite and sends an invite to the child's or the other adult's email. Once the other person accepts, the accounts are linked.

From then on the parent can manage the linked members' bookings, credits and invoices from their own account. If a child tries to start the family group, the app asks them to have a parent log in and send the invite.

I need to send emails to various groups. How do I set up communications groups or teams in the app?

Go to Manage › Manage Users and open the Groups/Teams tab. Tap the plus button, name the group, and select the clients and staff in it, like Tuesday Evening Riders, Show Team or All Boarders.

To reach a group, open it and tap the paper plane to email everyone in it at once, with no list to build each time.

I have clients that want to schedule for their children without logging into their child's account. Is that possible?

Yes. Once a parent has linked their child's account in a Family Account, they book events and manage the child's schedule from their own account, with no logging in and out. Parents set up the link from the menu at the top of the screen, under Account & Billing › Family Account.

Parents can also get an email whenever a booking is made for a child on their account, under Profile › Notification Preferences.

I have clients where multiple family members ride and they want to be able to share their lesson tokens. Is that possible?

Yes, and there's nothing to set up. With Family Token Sharing, credits from a package one family member buys can be used by the other riders linked in their Family Account. It's on by default for the barn, for every event and for every family, and each rider's own credits are used first.

The barn decides whether sharing is offered and on which services, and each family can turn it off for its own group. Whose credit paid for whose booking shows on the booking summary, in the token managers and on the invoice.

Notifications

Operations
How do I configure app push notifications, SMS/text message, and email notifications?

Each person sets their own: open the menu at the top of the screen and go to Profile › Notification Preferences. A table lets you turn email, SMS and push on or off for new, changed and cancelled appointments, appointment reminders and how far ahead they come, new invoices, and task reminders, assignments and overdue tasks.

Invoice emails always go out, SMS needs a verified phone number, and push needs notifications allowed on your device. Parents can also get an email when a booking is made for a child on their account, and anyone can set a reminder before a subscription renews.
